Description

A Learning and Development Administration Coordinator is needed to effectively provide high support and assistance to the L & D team in the daily operation of the department, and achieve exceptional levels of guest service and assistance towards all the associates of JARH (JA Resorts and Hotels) with regards to the requirements of training. The candidate is to support with the achieving of the processes and objectives of JARH L & D continuously and assisting with the daily administration of the operational tasks in the L & D department in line with the corporate strategy.

Main responsibilities:

- Smoothly carrying out all tasks, communications, and responsibilities related to administration
- Ensuring that influential L & D Communications across JARH are carried out clearly and timely
- Sending reminders, appointments, and the necessary e-mails or communication for various training programs
- Managing all correspondence related to training with the trainers and participants on the internal and external courses or programs
- Managing and coordinating the attendance for the orientation of new associates, and communicating accordingly with the departments promptly
- Being fully aware of the departmental standards as stated in the SOP’s (Standard Operating Procedures) and POL (Policies) that would enable the sharing of accurate information with various departments, including planning, analyzing, evaluating, reports and providing
- Managing and updating the inputting of training information for all the associates of JARH which is used for key reporting across the business, including all training requirements for courses or programs internal, external, legal requirements tracking and training related to the job role
- Maintaining all processes of the departmental trainers on reporting and trackings, and escalating any concerns accordingly
- Maintaining all Tracking systems, records, and filing such as New Starters or Resignations, JARH Orientation, and all course attendance of L & D on a regular basis, and communicating data to the appropriate members and managers of L & D to follow through
- Keeping track of and preparing the time and attendance records of the department, and ensuring the submission is done on the specified schedule

Specific responsibilities:
- Plan and Resources:
• Managing and maintaining the process of certification for all courses or programs and tracks accordingly
• Planning award ceremonies for completed courses and certificate issuing accordingly for L & D
• Organizing L & D program logistics such as sending out nomination and confirmation emails, booking of rooms or venues, printing of hand-outs and preparing the necessary materials for each program
• Taking responsibility for printing of registration sheets, name tags, and communicating the confirmations for training courses on time
• Coordinating internal and external courses with the departments and trainers for attendance on course or program participants
• Management of in-house and external trainers on site
• Managing all L & D materials, stationeries, and equipment resources inventories, including any self-development resources
• Ensuring the maintenance of training rooms with high quality cleanliness and filled with resources, and supporting other team members of L & D in the room set-ups as and when required
• Creating and releasing training calendar specific to property, and other materials related to training for the month based on the information of the master calendar
• Preparing and processing learning agreements for associates approved to attend any external course or courses

- Providing:

• Maintaining a thorough understanding of all course content of the training, training calendars, and training locations to provide a correct and timely response to training inquiries
• Tracking all the internal cross trainee statuses, and coaching of associates through the application process
• Providing influential L & D communication or information clearly and on time
• Supporting the executives of L & D in providing information to prepare for the presentation of the trainers meeting, including the identification of challenges faced or the needs of the department by analyzing their respective reports, course attendance, or L & D related administration

- Analyzing and Evaluating:

• Handling all the tracking of internal and external training course attendance and the Net Promote Score (NPS), logging in in a systematic way
• Using NPS or Course feedback in the analyzing of trends and shares with the L & D team regularly to ensure that the internal trainers or the External providers make modifications to the course and adapts their training behavior accordingly
• Receiving documents related to training from the departmental trainers, such as the training plans, training actuals, records and attendance sheets of the departmental training to accordingly review and track
• Coaching the trainers for them to provide a correct and complete information
• Using relevant tracking and information, both internal, external and legal, that corresponds to matters related to job and keeping the Management of L & D aware of any training
- Reports:
• Preparing and communicating the activity report of the departmental trainer for JARH
• Preparing the executive summary of the L & D trainers for JARH
• Preparing the JARH executive summary using the data mentioned above

Operational Responsibilities:

- Escalating any concerns or issues related to training to the management of L & D promptly
- Attending or being aware of all core training courses or programs on offer internally to ensure the correct information can be provided to all inquiries
- Ensuring reporting of any malfunctioning machine or training equipment and office training room maintenance on time to support the addressee
